Position Title: HR Operations Specialist
Position Summary:
Provides administrative support to fast-paced, team member oriented, HR Team. HR Operations responsibilities include managing employee lifecycle processes as well as assisting general administrative duties. TA Operations responsibilities include managing requisition workflows and delivering interview, hiring, and onboarding processes. Role responsible for reporting and using data to identify operational inefficiencies and help to recommend and improve or innovate processes to keep them as effective and efficient as possible.
The right candidate will be detail oriented, extremely comfortable with Excel and the Microsoft office suite and have a proven ability to successfully handle multiple tasks independently, efficiently and with good humor.
Essential Job Functions:
- Works with managers, HRBPs and payroll to coordinate internal moves
- Maintains all data entry to HRIS (dept changes, manager changes, title changes, etc.)
- Ensures all required employment documentation is uploaded into HRIS system
- Performs a variety of administrative employee lifecycle support duties
- Prepares written communications related to separations notices
- Supports multiple recruiters, their hiring teams and candidates through the full recruiting cycle (on-shore, off-shore, employees, contractors, interns etc.)
- Manages onboarding requirements of candidates with accepted offers (background checks, offer letters etc.)
- Owns requisition workflows and data and manages approvals within ATS
- Responds to all contact received via shared mailboxes and email within a timely manner
- Maintains up to date Labor Relations knowledge
- Adheres to data privacy regulations, through data input, accuracy, access and reporting controls
- Ensures operations documentation and correspondence reflects Bottomline culture, works with creative team to produce content that creates a lasting impression
- Completes regular audits of data and responds to compliance and customer audit requests
- Provides regular HR reporting and handles ad hoc projects
Education and Experience:
- 1-3 years’ business experience, preferably within HR or Recruiting Operations
- BA degree or an equivalent combination of education and related business experience
- Passion for efficiency, automation, and productivity
- Ability to manage a robust pipeline of projects with multiple stakeholders and competing timelines, with minimal guidance
- A proactive mindset and bias toward action; you’ve demonstrated an ability to work independently and autonomously and make thoughtful decisions on behalf of the business
- Personable, approachable and friendly
- Extremely detail-oriented, proactive and organized with the ability to solve problems under tight timelines
- Excellent communication skills, both oral and written with a strong customer first orientation
- Ability to work independently and autonomously with limited direction
- Demonstrated proficiency of Microsoft Office applications (Outlook, Excel, Word and PowerPoint)
