What You Will Do:
The Procurement Specialist will report to the Director, Global Facilities & Procurement.
The Procurement Specialist is responsible for managing the procurement and lifecycle management of SaaS solutions and related services. This role involves vendor management, contract negotiation, subscription management, spend governance, and contract repository management, focusing on consolidating vendors and optimizing SaaS expenditures. The successful candidate will play a crucial role in ensuring efficient and cost-effective procurement practices that support our organization's objectives.
A crucial part of the role is to:
- SaaS Procurement and Licensing:
- Collaborate with internal stakeholders to understand SaaS requirements, specifications, and business needs.
- Develop and implement procurement strategies for SaaS solutions, ensuring alignment with organizational goals and budget constraints.
- Manage the end-to-end procurement process, including vendor selection, issuing purchase orders, and maintaining accurate documentation.
- Oversee SaaS license management, ensuring compliance with agreements and optimizing license usage to avoid over- or under-utilization.
- Regularly review and audit SaaS subscriptions and user lists to ensure accuracy and optimize usage.
- Identify opportunities to consolidate subscriptions and reduce unnecessary costs, ensuring efficient resource allocation.
- Provide recommendations for improving subscription management and user access controls, aligning with best practices.
- Vendor and Contract Management:
- Identify, evaluate, and manage relationships with SaaS vendors and service providers.
- Negotiate contracts, pricing, and terms to secure favorable agreements and achieve cost efficiencies.
- Evaluate vendor performance and develop strategies for consolidating vendors as part of integration and acquisition activities.
- Create a centralized contract repository, ensuring all SaaS contracts are organized, accessible, and up-to-date.
- Implement and manage tools and processes for efficient contract tracking and retrieval.
- Track SaaS contract expirations and manage the renewal process to ensure continuous service and cost optimization.
- Review and negotiate contract terms and conditions to align with organizational policies and legal requirements.
- Ensure all contractual obligations and service level agreements (SLAs) are met by vendors, with a focus on performance and reliability.
- Governance and Spend Management:
- Implement governance processes to monitor and control SaaS spend, ensuring alignment with budgetary goals.
- Analyze spending patterns and provide insights to drive cost-saving opportunities and improve budgetary control.
- Develop and enforce policies and procedures for SaaS procurement, ensuring compliance with internal policies and regulatory requirements.
- Data Management and Reporting:
- Generate reports on SaaS usage, procurement activities, and spend analysis, providing actionable insights for decision-making.
- Provide recommendations for process improvements and strategic sourcing initiatives, focusing on innovation and efficiency.

Qualifications:
- Bachelor’s degree in Business Administration, Information Technology, Supply Chain Management, or a related field.
- 3-5 years of experience in procurement, with a strong focus on SaaS, technology, and licensing.
- Strong understanding of SaaS licensing models, subscription services, and procurement processes.
- Proven experience in vendor management, contract negotiation, and spend governance, with a focus on SaaS solutions.
- Proficiency in procurement software and tools (e.g., SAP, Oracle, Ariba).
- Strong analytical and problem-solving skills with attention to detail and a focus on efficiency.
- Excellent communication and interpersonal skills, with the ability to build strong relationships with vendors and stakeholders.
- Ability to work collaboratively and independently in a fast-paced environment, managing multiple priorities and deadlines.
Preferred Qualifications:
- Professional certification in procurement or supply chain management (e.g., CPP, CPSM, CPIM).
- Experience with mergers and acquisitions, particularly in consolidating SaaS vendors and solutions.
- Knowledge of cloud-based software, SaaS procurement, and emerging technology trends.
