We are now looking for an Office Coordinator to join us full time in Stockholm, Sweden until end of April 2025. 

 
Our three Swedish offices, all is in central Stockholm is soon to become one, both bigger and better. Once the move is done it will be housing all our 150+ employees in Sweden. Meaning that you will be joining at a time with a lot of initiatives shaping the future of RELEX in Sweden. You will be part of our Global People team of +60 professionals, and you will be reporting to our Team Lead Office Support Nordics. Please note that you must be able to work at the office, meaning you need to be in Stockholm, Sweden. The office support team is responsible for maintaining a functional and welcoming work environment at the RELEX offices and, in this case, our lovely Stockholm office. This includes:

Join us as Office Coordinator and this is some of what you will be doing: 

  • Handle office related administrative tasks including reimbursements, accounts payable approvals and travel support 
  • Maintain a welcoming and functional office space including shared areas and meeting rooms
  • Nurture our flexible and warm working culture 
  • Act as first contact person for office related matters for employees and vendors
  • Monitor, order and refill snacks, beverages, office materials and Newbie merchandise 
  • Handle incoming and outgoing mail
  • Organize office events
  • Act as onboarding support in terms of welcome packages, office access, and IT equipment.
  • Collaborate closely with IT, Finance and People team
  • Substitute for other Office Support team members in the Nordics
  • Develop processes to support the team, employees and Team Leads even better  

We are looking for: 

  • A background in hospitality or customer service will be highly beneficial
  • Previous experience of similar tasks, for example working cost-consciously with budgets, setting up equipment, and working with outside vendors
  • Great people, teamwork, and collaboration skills
  • Self-driven, proactive, and capable of independent work
  • Customer-service mindset
  • Prioritization skills and ability to perform under pressure
  • Excellent fluency in both Swedish and English – English is our internal company language, and you will need to communicate for example with vendors in Swedish.
