The Operations Manager, Vendor Ordering is responsible for overseeing a robust catalog of vendor partnerships and operational responsibilities, across each of our brands and a myriad of platforms and systems. As the Operations Manager, Vendor Ordering, you’ll refine existing processes for optimal performance, as well as initiate new ones, helping the business adapt as we grow. Along the way you’ll manage a close-knit team of individuals spanning many time zones. Our ideal candidate is someone who can quickly become a subject matter expert on all processes for our brands, is able to identify and articulate gaps, and work closely with a team and cross-functional partners to execute improvements.
What You’ll Do:
- Be responsible for order execution for all Havenly brands, becoming a subject matter expert in all processes.
- Ensure orders are processed quickly and with limited exceptions.
- Use data and analytics to find trends in order processes, and use data to drive optimal performance for the ordering team.
- Lead a team of 30+ individuals who support various facets of our ordering processes, including team members in the US, China, the Philippines, and Armenia.
- Oversee shipping accounts for all brands, including but not limited to: vendor management, new account creation, billing, and reporting.
- Work closely with the Sr. Manager of Global Logistics and the Warehouse Fulfillment Manager.
- Work cross functionally with various departments to ensure order operations are established as business needs grow and change.
- Take initiative to refine existing processes and create new ones as needed, establishing process definition and standardization.
- Spearhead operational-based projects to improve cost for all parcel-based shipments.
- Run and audit payroll for the offshore team using Upwork.
- Establish a clear path of escalation within the Ops organization, providing direction or final approval for all obstacles that prevent orders from moving smoothly.
- Foster a people-first culture, helping team members develop within their own careers, and infusing your leadership with Havenly’s cultural values.
Who You Are:
- 5+ years of experience in operations and e-commerce management.
- You are the definition of “attention to detail”, and can hold others to the same standard.
- You are analytically minded, with intermediate Excel experience.
- You enjoy taking chaos and making sense of it, and are then able to articulate it to others.
- You get excited about working with others, helping them see the bigger picture and sharing the “why” behind decisions.
- You are able to execute projects from start to finish, delegating work where appropriate, and holding yourself and others to deadlines.
- You have strong planning and execution skills, with the ability to lead cross-functional initiatives and drive meaningful change.
- You have the ability to remain calm under pressure with a get-it-done attitude. You roll up your sleeves to help with whatever is needed, particularly during peak holiday and promotional time periods.
- You are okay with ambiguity and are able to take the initiative to solve complex problems, and build new processes with the resources available to you.
- You are an expert in “Change Management” knowing our business will continue to evolve and our needs will differ over time.
- You are an exceptional communicator, able to celebrate wins, and are able to admit when you need support from others.
- You have experience working with Slack, Looker, and in Google Suite.
- You have experience managing teams in various time zones in the US, as well as internationally.
Additional Details:
- This is a full-time exempt position based in Denver, CO, working a hybrid schedule.
- Targeted compensation range for this role: $70K-80K/year, dependent upon experience.
