The James Martin Center for Nonproliferation Studies (CNS) is seeking an administrative graduate assistant for summer 2024. Only enrolled students from any MIIS degree program are invited to apply.
Available Hours: Monday – Friday, 8:30 am – 5:00 pm, up to 20 hours per week. The position is 100% in-person at the CNS campus office.
Work-Study Status: All enrolled students, regardless of federal or institute work-study status, are eligible to apply.

Responsibilities:
- Serve as front desk presence at the James Martin Center for Nonproliferation Studies (CNS) office and deliver excellent service to Middlebury Institute students, staff, and faculty; prospective students; guest lecturers, and visitors.
- Receive and respond to inquiries via phone and email professionally and efficiently; convey general information about CNS and refer students/visitors to appropriate contacts; ensure coverage of the front desk at all times during scheduled hours.
- Assist CNS team with administrative tasks including photocopying materials, ordering office supplies, maintaining copy rooms and printers, collecting mail daily, scheduling monthly meetings and updating the Virtual Events calendar, creating doodle polls, and organizing parking passes for guests as needed.
- Support Finance Manager as needed with tasking in Oracle; organizing confidential documents and registering suppliers, creating invoices/reimbursements, working with Accounts Payable, etc.
- Perform general support duties to include (but are not limited to) word processing, data entry, database management, social media updates, maintaining records, photocopying, faxing, and making/answering phone calls.
*Please note that this is a graduate assistant (GA) position, not a graduate research assistant (GRA) position. Tasking will be administrative rather than research-oriented.
CNS provides a range of research opportunities with various funding sources. Individuals hired to work under Federal Contracts containing the FAR 52.222-54 clause will be subject to E-Verify.
Requirements
- Currently enrolled in any MIIS degree program
- Available to work on the MIIS campus in Monterey
- Computer literacy (MS Office in particular)
- Familiarity with office equipment (e.g. printers and fax machines)
- Excellent organizational skills
- Strong verbal and written communication skills
- Professionalism while collaborating with varying managerial levels
