Why You'll Love This Role: As a key player in our Finance Team, you will ensure the seamless execution of our Financial operations. Your role is essential in maintaining accurate records, managing payments, and processing invoices with efficiency and expertise. What You'll Do:

Debtors:

  • Craft monthly invoices for corporate customers with impeccable accuracy ensuring adherence to predefined terms and standard operating procedures as directed by the Financial Manager
  • Facilitate the timely dispatch of statements to manual paying customers in accordance with the debtors’ calendar.
  • Resolve customer queries swiftly, showcasing your in-depth understanding of debtors' processes.
  • Process credit notes on PaySpace, following approval protocols.

Payslip Orders:

  • Handle and process payslip orders from customers.
  • Prepare payslip orders for dispatch and manage inventory levels.
  • Invoice for payslips and courier charges when needed.

Creditors:

  • Enter creditor data into accounting software with all necessary documentation.
  • Ensure creditors are paid promptly and maintain strong supplier relationships.

Financial Administration:

  • Timely completion of customer vendor forms
  • Provide support for sales tenders as required
  • Assist your finance team colleagues as needed.

General Administration:

  • Effectively manage all travel and accommodation bookings, ensuring billable aspects are invoiced to the customer.
  • Procure monthly office supplies including stationery and groceries.
  • Conduct monthly stock takes and report on any discrepancies to Financial Manager
  • Arrange shipments through courier websites and ensure timely delivery; as needed by business.
  • Keep our office organized and assist with ad-hoc tasks.

Events & Gift Management:

  • Coordinate birthdays and special events for Heads of Departments and provide gift ideas
  • Coordinate the purchase and delivery of special events gifts and awards vouchers
  • Arranging and coordinating events like quarterly beers and cheers events, including sourcing of a venue, invites, catering etc. , as required, per region.
  • Book boardrooms or venues for meetings and events, inclusive of the arranging of catering if required and maintaining a boardroom booking log. i.e. Inductions, User Group Sessions, other meetings.
  • Support the marketing team in setting up events.

What You Bring:

  • Minimum of 3 years of relevant experience.
  • Solid understanding of accounting principles and standards.
  • Proficiency in MS Office (above average Excel exp), CRM systems, and accounting software (Xero is a plus!).
  • Strong analytical, problem-solving, and organizational skills with excellent attention to detail
  • Ability to prioritize, self-manage, and work well both independently and in a team.
  • Strong communication and interpersonal skills
