About the opportunity:

The Executive Assistant/Office Administrator position is a broad hands-on role, where you are responsible for the smooth functioning of the office on a day-to-day basis, including ensuring a safe work environment, and also providing administrative support to the executive team and other team members as required.  Reporting to the Chief Operating Officer (COO) you are responsible for variety of responsibilities, including:

  • Office upkeep: Ensure a safe, clean, and comfortable work environment for the team.
  • Manage front office activities, such as greeting visitors, managing phone enquiries, distributing correspondence.
  • Office supplies & logistics: Organise couriers, manage office supplies, and process leave requests.
  • Travel & accommodation: Book travel and accommodation arrangements for the team as required.
  • Vendor management: Manage external vendor accounts and ensure timely payments.
  • Accounting support: Manage corporate credit cards, process invoices, and data entry
  • Executive support: Provide administrative support to senior executives, including diary management and document preparation.
  • Investment team support: Offer administrative support to the Investment team.
  • HR support: Assist with various HR tasks, including onboarding and offboarding processes.
  • WHS representative: Be the first point of contact for WHS matters, conduct safety audits, and ensure compliance with WHS regulations.
  • Office refurbishments: Coordinate and oversee office refurbishments and renovations as required.

 

What you’ll need to succeed:

  • Appropriate qualifications or equivalent experience in office management or a relevant discipline.
  • Solid organisational and time-management skills
  • Strong verbal and written communication skills including the ability to write reports, presentations and take minutes.
  • Demonstrated ability to engage positively with internal and external stakeholders.
  • Experience managing a number of tasks and projects and competing priorities simultaneously.
  • Great attention to detail and accuracy
  • Proficient in Microsoft Office suite (Word, Excel and PowerPoint. Outlook)
  • Professional presentation and manner when communicating with all stakeholders.
  • The ability to work with the highest degree of confidentiality
  • Problem solving and ability to think outside the box
  • Team player
  • Self-starter, keen and able to work off own initiative.
