Role Overview

As a core member of the Facilities, Real Estate and Operations team (FREO), the Office Coordinator will strive to deliver an outstanding workplace experience to all Gurus and guests. As one of the faces of CarGurus, you will be one of the first points of contact for people on site. Additionally, you will provide excellent employee engagement and event support. This role is part-time (20 hrs per week) and is a 6-Month Fixed Term position. 

What you'll do

  • Be an ambassador of company culture and values
  • Be approachable, reliable, and energetic
  • Field inquiries from employees while working on-site at our Dublin office
  • Maintain the overall appearance, organisation, and cleanliness of the workplace
  • Perform daily walkthroughs to ensure workstations, conference rooms and public spaces are clean, presentable and fully stocked 
  • Own our in-office pantry program including ordering, inventory tracking and stocking
  • Assist in facilitating our daily in-office lunch program
  • Lead the day-to-day operations of our Dublin office i.e space planning etc 
  • Partner with WeWork to assist in addressing building-related needs and requirements. Act as the primary point of contact for all WeWork related correspondence including invoice processing. 
  • Manage office budgets and expenses, procurement and purchase orders, ensuring cost effective operations. 
  • Partner with WeWork to suggest updates to office policies, procedures, and safety standards (i.e. emergency evacuation plan, visitor registration, security, etc.)
  • Oversee office vendors to ensure the scope of work is being completed to a high standard 
  • Lead the culture committee in facilitating employee events, company meetings, team building activities etc
  • Maintain inventory and supply management of office supplies, bathroom supplies etc.
  • Act as point of contact for all visitors to the Dublin office i.e travel logistics, building access, desk allocation etc
  • Management of inbound/outbound mail 

What you'll bring

  • 2+ years of office, facilities, or related experience
  • Willingness and ability to work in-person at our Dublin office 4 days a week
  • The ability to prioritise workload, follow through, and complete tasks in a timely manner
  • Strong organisation and planning skills
  • Comfort owning projects and suggesting resolutions to challenges; you take initiative and work well independently, as well as with others
  • A customer-first mentality, outgoing and personable demeanour, and polished approach to interactions with internal and external customers
  • The ability to work in a fast-paced environment with evolving needs and requirements
  • Strong attention to detail, the ability to learn quickly and understand the big picture
  • Capacity to take on special projects as needed/assigned
  • Prior customer service, admin, or event management experience is a plus
  • The ability to lift up to 20KG
