Job Title: Office Supervisor
Department: FMC Eye Specialists
Reports to: Director or Associate Director of Physician Offices
Job Summary:
This full-time opening is for an Office Supervisor for our busy FMC Eye Specialists office. Qualified candidates should have at least one year of Supervisory/ Team Lead in an outpatient medical office setting. Candidate must be organized and ready to learn surgery scheduling for busy cataract surgeon. The schedule for this position is Monday-Friday 8AM-5PM.
*Preferred one year experience in ophthalmology clinic, not necessary but helpful. Supervisor will also be surgical coordinator*

Essential Functions of the Position:
- Essential Personality Skills and Qualities
- Must be patient-service focused with the ability to deliver high patient satisfaction.
- Excellent communications skills required, ability to develop relationships with patients to provide a positive experience.
- Ophthalmic/optometric experience is preferred but not required.
- Proficient with standard office equipment and software (Word & Excel); multi-task comfortably.
- Exemplary organizational skills; willingness to be cross-trained and fill in for other staff members.
- Ensure all patients, at all times, have a positive experience while in the office or on the phone.
- Maintain patient confidentiality.
- Handle incoming call volume promptly and in a professional manner.
- Travel to satellite location(s).
- Maintain knowledge of and follow policies, procedures, Code of Conduct, and all Federal and state rules and regulations related to the position.
- Managerial Responsibilities
- Coach and counsel staff regarding best practices.
- Maintain, monitor, and encourage attendance of staff.
- Coordinate staffing needs and schedules to include PTO requests and coverage.
- Interview candidates for open positions and extend offers as approved by Administration.
- Complete staff performance reviews.
- Complete new hire and termination process.
- Make recommendations to Administration related to staffing needs.
- Organize and direct regular staff meetings.
- Monitor uniform and ID badge compliance.
- Investigate and gather information related to issues or concerns prior to employee reprimand or staffing change
- Address and coordinate training needs of department.
- Attend meetings as required.
- Notify and educate employees and providers of new policies and procedures.
- Provide flow of information between providers, management, and staff.
- Handle and resolve patient complaints.
- Request patient discharge letters and complete discharge process.
- Fill-in for front office/ check-in/ check-out duties as needed
- Navigate the practice management system, post and reconcile payments.
- Work Flow Responsibilities
- Manage and maintain physician schedule(s).
- Monitor employee tasks.
- Implement new work routines or changes as needed.
- Investigate and resolve clinical tasks in a timely manner to maintain optimal efficiency in the department
- Address software, hardware, phone, and Quick Q system issues and create IT tickets if unable to resolve, and monitor ticket statuses daily.
- Oversee office inventory and generate purchase requisitions.
- Coordinate and oversee outside chart audits including security access form to IT
- Surgical Coordinator Responsibilities
Job Qualifications:
- High school graduate or GED equivalent.
- 1 years experience in supervisor role in outpatient medical setting.
- Strong computer proficiency and comfort with Electronic Medical Record and Practice Management Software systems.
