Engagements are typically focused on digitization of existing operations & processes and/or activation of digital customer engagement channels. With a team of 100+ tech and market consultants, robusta maintains an impactful footprint across EMEA and engages with its clients through its two key operations hubs in Egypt and Germany. 

Position Overview

The Administrative Manager is responsible for overseeing the daily operations of RTG and executive members. This role involves managing and coordinating administrative procedures, ensuring operational efficiency, and providing administrative support to various departments within the organization. The Administrative Manager will also develop and implement policies and procedures to enhance productivity and ensure compliance with company standards.

What you’ll be doing: 

  • Supervise Operations Executives, providing guidance and training as needed.
  • Coordinate and oversee office services such as records management, office maintenance, and facility management.
  • Ensure efficient and effective administrative operations.
  • Develop and implement administrative policies and procedures.
  • Monitor compliance with company policies and governmental regulations.
  • Prepare and manage the administrative budget.
  • Monitor and control expenditures within the allotted budget.
  • Approve invoices and manage vendor relationships.
  • Streamline administrative processes to improve operational efficiency.
  • Evaluate and implement new technologies and systems to enhance productivity.
  • Provide administrative support to other departments as needed.
  • Assist in coordinating and planning company events, meetings, and conferences.
  • Manage scheduling for meetings, appointments, and events.
  • Book travel and other business events, ensuring all logistics are handled efficiently.
  • Support leadership with family travel arrangements including travel, tickets, visas, and residencies.
  • Maintain and manage corporate documentation, ensuring all records are up-to-date and properly filed.
  • Handle contracts administration for employees and suppliers.
  • Oversee procurement processes, ensuring timely and cost-effective purchasing.
  • Manage asset and equipment maintenance, ensuring all resources are in good working condition.
  • Handle licenses and ensure compliance with relevant regulations.
  • Manage relationships with suppliers and vendors.
  • Negotiate contracts and ensure quality and cost-effectiveness of goods and services.
  • Prepare regular reports on administrative operations.
  • Maintain accurate records and ensure proper documentation.

Requirements

What we need from you

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum of 5 years of experience in administrative management or a related role.
  • Fluent in English is a MUST
  • Proven experience in managing administrative functions and teams.
  • Excellent organizational and time-management skills.
  • Strong leadership and team management abilities.
  • Proficient in Microsoft Office Suite and office management software.
  • Excellent communication and interpersonal skills.
  • Strong problem-solving skills and attention to detail.
