What’s the role?

You will be responsible for:

Office Administration

  • Organizing and maintaining records, files, and databases/SharePoint
  • Overseeing and supporting all administrative duties in the office and ensure that office is operating smoothly
  • Ensuring the office environment is always cleaning and neat
  • Organizing the office layout and ordering stationery and equipment
  • Responsible for preparing and serving catering and beverages to clients and team members, when required
  • Assisting in buying consumables such as cleaning products, groceries and beverages
  • Booking travel and accommodation for staff
  • Conducting courier arrangements when needed
  • Assisting the executive team when necessary

Finance Administration:

  • Receiving and capturing high volume sale orders from customers
  • Verifying orders by checking the correct information, including customers personal details and payment details
  • Amending/changing and maintaining existing orders
  • Sending out Invoices to all customers
  • Contacting customers by email or phone to answer queries and obtain information
  • Communicating feedback from customers internally
  • Receiving calls from customers and assist with queries and ETAs on orders
  • Building & maintaining relationships with Customers
  • Ordering stock for customers
  • Communicating order deadline dates for production
  • Shipping orders when stock available
  • Keeping up to date with production lines when stock is receipted
  • Allocating stock to the correct open order
  • Communicating with customers re-orders that are ready
  • Communicating with customers that owe balance before orders are invoiced
  • Assisting with credit notes

Boxes to tick…

  • Matric
  • Minimum of 1 year experience in a similar role
  • Efficient in Microsoft Word and Excel
