The ideal candidate would represent the FIRST brand as a dedicated resource within our Solutions division.

The Senior Project Manager (SPM) will consistently deliver exceptional service to our clients, leading large, multi-day, multi-venue, complex events, in addition, to supporting the client, FIRST management and wider team on projects outside of delivery to drive best practices across the team and being an exemplary role model.

  • Reviewing the requirements of the project to ensure streamlined delivery, mapping out roles and responsibilities - clearly communicating the expectations and objectives throughout. Mindfully delegate tasks in line with the experience and strengths of team members and manage escalations
  • Creation and management of detailed project timelines and reporting to internal clients as required on progress, key milestones, and any client team deliverable deadlines
  • End-to-end delivery of a wide range of events across all client divisions demonstrating a good understanding of the different ways they operate
  • Act as a consultant and contribute to the creation and deepening of a knowledge bank of venues, hotels, destinations and services to ensure that the team are providing expert advice and recommendations to clients
  • Oversee delegate experience including communication, event data and reporting, demonstrating a clear understanding of the role of the Event Technology Manager and how to cultivate a seamless working relationship
  • Travel for site visits and on-site execution as necessary
  • Utilise their expert knowledge of food and beverage requirements depending on the project
  • Preparation of all detailed on-site event management documentation as well as verbal briefing of support staff, venue, and all suppliers directly responsible for delivering the event or conference
  • Accurately deliver post-event budgets, client operational debriefs and post event re-booking of venues for the following year, where appropriate
  • Develop and manage relationships with Global and Regional stakeholders across client teams and divisions
  • Partner with our clients to advise and support their yearly event goals focusing on innovation and activation along with achieving your and FIRST annual goals
  • Share knowledge and create best practices regarding new suppliers, services, and venues
  • Take a consistently proactive approach to creating and delivering enhancements to project delivery, and drafting best practices to support implementation
  • Identify process inefficiencies and implement any changes in alignment with management
  • Mentor, train and support other team members as required, taking on additional responsibility outside of event management to support efficiencies and enhance collaboration
  • Escalates challenges which negatively affect productivity through appropriate channels as necessary
  • Act as client liaison and work with the FIRST team to ensure adherence to client standards of operations
  • Assistance with any ad-hoc work as necessary

QUALIFICATIONS, KEY SKILLS & EXPERIENCE

  • Extensive event management experience, preferably in the financial services industry
  • Strong leadership skills together with extensive, advanced project management experience of events and production management, including but not limited to conferences, C-level executive dinners, cocktail receptions, incentives, and hospitality
  • Ambitious, proactive, and highly organized, with excellent writing and oral communication skills
  • A calm and flexible approach to handling pressure and stress
  • Client-centric, approachable, ability to adjust to client needs and style and deepen relationships in support of their business and programs; adapt to ever-changing demands and different client work styles
  • Knowledge and understanding of audio-visual requirements, internal and external speaker management, collection and program order collation of all presentations
  • Demonstrate excellent and consistent leadership and work intelligently
  • Working knowledge of suppliers and delivering events across EMEA
  • Experience in building excellent relations through positive, precise, clear verbal and written communications and deepening client relationships through increased service range innovation
  • Ability to be a team player to recognize project team successes and give credit where needed. Understand the strengths, aspirations and development areas of all project team members, ability to build team member confidence
  • Possesses strong self-awareness and empathy for each member of the project team
  • Approachable to support all team members with day-to-day guidance and challenges
  • Advanced knowledge and commercial focus on the Output Based Charging model

ADMINISTRATION & GENERAL

  • Demonstrate adhere to, meet, and exceed SLA’s and KPIs consistently across all areas of delivery
  • Strict and accurate adherence to the company’s time-tracking policies and systems
  • FIRST ambassador; participate and engage with FIRST initiatives and extracurriculars where possible
  • Ensure that all client’s policies and procedures, legal and compliance requirements as they relate to event project management are adhered to at all times
  • Assume responsibility for own environment, ensuring adherence to health and safety policies
  • Excellent working knowledge of Microsoft Office
