A Little Bit About the Role:
Awareness of GenAI technology has exploded over the last 12 months - and with it a whole new world has opened up for creators in advertising. At Pencil we are developing tools that empower creators to do magical work for brands, and we want to ensure we take a leadership position in the quality and impact of GenAI advertising.
This role will be underpinned by passion and ambition, and those with experience in leading digital content and social campaigns within a creative agency will have an advantage.
They will oversee the costing for conceptualisation and production of jobs, including video, CGI motion, design, artworking, automation video, etc. They ensure that the job is delivered on time and on budget while meeting agency and client requirements.
They will work with clients and internal teams to schedule projects and allocate resources, and they assist in identifying the appropriate production partners to fulfil projects to the highest standards.
They will have a strong understanding of video, broadcast and digital,disciplines and collaborate closely with these departments. They create timing plans and budgets within our own systems, take responsibility for the review and approval process of the creative output, and ensure that the projects they oversee run on time and within budget
You will require experience with GenAI tools and what they can do for creators, the advertising industry and for marketing clients - as well as the positivity, energy and lateral problem solving to explore and expand techniques to push beyond any perceived creative limitations. One key measure of your success will be your ability to inspire a team with creative solutions day-to-day. Doing this successfully will deliver impact for our clients and fame for your work, as well as make you one of the leading voices of the GenAI revolution.
What you will be doing:
GENERAL TASKS AND RESPONSIBILITIES:
- Ensure the creative integrity and vision of our productions are maintained throughout the post-production process.
- Have integrated experience across various disciplines which can include one or more of the following: AI, Automation Digital, video, CGI, Motion Design and/or Print projects.
- Take ownership of productions from initial brief to final delivery, overseeing every aspect of the post -production workflow.
- Work closely with clients to define campaign scope, estimates, and schedules, ensuring their needs and expectations are met.
- Efficiently schedule and allocate internal resources, maximizing team utilization and ensuring post-production timelines are met.
- Collaborate with cross-disciplinary teams to develop integrated solutions that align with multiple client stakeholders' requirements.
- Effectively communicate and collaborate with clients, Creative, Account Management, and Production teams to understand project requirements, challenges, and vision.
- Develop accurate post-production budgets, gain client sign-off, and ensure all stakeholders are aware of budget constraints before commencement.
- Monitor budget allocation, negotiate extensions, or additional costs when necessary, and report essential information to the Executive Producer.
- Supervise the post-production process, addressing any issues related to deadlines, live dates, and editing time.
- Mentor and manage junior team members, fostering their growth and development within the post-production environment.

INITIATE & PLAN THE PROJECT:
- Receive new briefs and manage the process of transforming unclear briefs into well prepared briefs where applicable
- Calculating a thorough and accurate budget for each project, gaining sign-off from the client. Making sure that all parties are aware of any limitations imposed by the budget. Sign-off should always be gained before any work of any kind can commence.
- Work to the OLIVER+ Way of Working while executing projects
- Identify stakeholders and create a communication plan to ensure each of them has access to the right level of information
- Set deadlines with partners and challenge unrealistic timelines to ensure workload is managed based on creative processes
- Create project plan and identify key milestones for each of the projects you are assigned
- Work closely with the Executive Producer and Resource/Studio Manager to staff the project correctly based on the required deliverables and deadlines
- Identify risks and possible issues and create risk registers
- Work closely with the creative team to define a cost, scope and time plan for the projects
- Prepare and run effective and structured client and team kick-off meetings.
- Create and manage the delivery of project documentation.
MANAGE PROJECT EXECUTION, MONITORING AND CONTROL:
- Coordinate development and delivery among various project participants.
- Prioritize and manage workload of the project team
- Partner liaison when required, presenting project scopes, cost estimates and timing plans
- Build partner relationship and ensure their needs and requirements are addressed, while following the OLIVER+ ways of working
- Monitor the progress of the project delivery within scope and budget with the planned resources.
- Prepare status reports for the stakeholders and actively manage the control of project progress using weekly action points
- Follow the OLIVER+ change control process for any changes needed in the scope, budget, timelines or resource requirement
- Create and keep up to date all related project documentation and ensure compliance in the OLIVER+ system
- Proactively problem-solve, mitigate risks and plan for future issues
- Be accountable for the financial profitability of the project and actively manage cost overburn and time logged daily
- Ensure final deliverables are quality
- Reconciliations upon project completion.
What You'll Need:
- Minimum of 7 years of dedicated post-production experience, specifically within a Creative or Production Agency, showcasing expertise in video, digital and broadcast.
- Demonstrated ability to effectively manage a demanding workload under pressure, adeptly prioritizing tasks, planning strategically, and overseeing multiple concurrent assignments.
- Proven track record of successfully executing campaigns across diverse platforms.
- Comprehensive grasp of current trends and developments in new media and technology, with the ability to leverage these insights in advertising and digital marketing.
- Previous exposure to Resource and Production services sourcing.
- Entrepreneurial mindset with a readiness to refine essential business management skills.
- Positive and proactive outlook, leveraging experience to devise optimal solutions for each project within your purview.
- Effective communication skills in high-pressure scenarios and client-facing environments.
- Openness to share expertise and collaborate seamlessly with a global network of colleagues.
- Inquisitive nature, unafraid to seek clarification, and possessing an innate ability to identify and mitigate project risks.
- Advocate for effective and personable communication with all stakeholders.

You'll Have:
- Relevant degree or diploma.
- Fluent English
- Proficiency in excel
- The ability to manage both individual and project workloads and identifying challenges and risks within them, along with the mitigation and solution.
- Competent in multitasking and great organizational skills.
- The ability to work in a fast paced and demanding environment and manage multiple projects at one time.
- Confidence with clients.
- Ensuring projects are delivered within the deadline and within scoped hours of the project.
- Managing timesheet compliance and correct allocation of hours to projects within OMG.
- Postproduction experience and knowledge of TV formats, codecs and audio standards.
Good to have:
- Experience on global FMCG and Premium brands.
- Experience in Automation
- Experience or basic understanding and genuine interest in artificial intelligence (AI) technologies, showcasing a curiosity for exploring its applications and potential impact.
- Experience in high volume/adaption deliverables.
