APAC Payroll Team specializes in managing payroll operations for Asia Pacific region, ensuring precise and efficient payroll processing. By combining local expertise with a understanding of regional labor laws and compliance standards, the team provides tailored payroll solutions that meet the unique needs of each country. Maintaining close partnership with HR, finance and external partners, the APAC Payroll Team ensures seamless payroll operations, fosters employee trust, maintains compliance and delivers consistent and reliable payroll service across all locations.
The role
The Payroll Specialist is a member of the Finance team who will ensure accurate processing and recording of the company’s payroll. This role involves providing timely and accurate financial information and collaborating with internal and external stakeholders. The Payroll Specialist will be responsible for supporting payroll activities across APAC countries and will serve as the primary point of contact for payroll matters within those regions.
The core responsibilities include:
1. Monthly payroll activities:
• Ensure accurate and timely payroll processing for all employees.
• Preparation of input for payroll calculation, including new hire, termination, expatriate and overtime. All administration related to pensions, vacation days, insurances, bonuses, statutory contributions, and other benefits.
• Oversees deliverables from external payroll provider.
• Reviews and checks the payroll output after receiving report from external payroll provider.
• Preparation of payroll file for finance team to process payment.
• Ensure payroll compliance with tax rules, federal and state regulations and company policies.
• Assist in tax calculations, filing activities and payments as per local tax regulations.
• Support local statutory regulation submissions in collaboration with external payroll provider.
• Stay updated on regulatory changes and ensure alignment with external payroll providers.
2. Preparation and submission of all documents and information required in accordance with local regulations (e.g. regulatory bodies, tax authorities, external auditors).
• Provide support documents/reports for finance, internal and external audit purposes if necessary.
• Responsible for handling any audit request from authority tax / statutory department related to payroll.
3. Post payroll accounting activities:
• Prepare and upload accounting journals relating to payroll, benefits and vacation for posting.
4. Other activities:
• Analyze payroll issues and recommend corrective actions.
• Maintain employee payroll records and timesheet data for future references.
• Documented of all key payroll related procedures with periodic review to ensure regulatory requirement are maintained.
5. Other ad hoc activities including but not limited to:
• Participate in regional and global payroll projects and initiatives.
• Support all payroll enquiries from internal business units utilizing the knowledge of payroll legislation.
• Develop strong relationships with key stakeholders across the business to provide information that support business decision making and ad hoc requests.
• Provide on-the-job trainings and mentor team member as needed.
• Backup for other countries’ payroll tasks as needed.
• Other additional assignments may be required by the role.
What you’ll bring
• 2-3 years direct payroll processing experience for APAC countries with additional exposure to China and Taiwan being a plus.
• Certified Payroll Professional (“CPP”) preferred but not required. Minimum a payroll related qualification is good to have.
• Strong working knowledge of payroll best practices, including federal and state regulations.
• Proficiency in Microsoft Excel and familiar with relevant software (e.g. Oracle ERP, Workday, Dayforce)
• Excellent interpersonal and communication skills, both verbal and written.
• Fluency in Chinese with the ability to speak and understand the language.
• High level of integrity and professionalism, particularly in handling sensitive and confidential information.
• Ability to facilitate and manage changes within internal teams and across different groups.
• Strong organizational, multi-tasking, and prioritizing skills.
• Ability to work effectively with teams across different geographies.
