Job Summary
This position supervises the records and civil sections of the Sheriff’s office. Overseeing all records, public information requests, file management, accuracy of data entry and civil process verification. This position also manages the production, analysis and accuracy of data related to reports/citations providing recommendations for allocations of office resources. The work is performed under the general direction of a Sheriff’s Lieutenant, but work is performed independently with latitude for the exercise of independent judgement and discretion in carrying out the responsibilities of the job under the Sheriff’s Office Standard Operating Procedures. Work in this class is performed in a general office environment.
Key Responsibilities:
· Supervision and Training
o Ensure data entry verification, records requests, civil processes, money management, and file management are executed correctly
o Train staff on procedures and systems
o Coordinate, monitor and assign schedules and tasks of staff
o Evaluate staff performance and provide feedback
· Records/File and Data Management
o Administer and maintain effective records and file management systems
o Verify data submission for federal crime reporting systems (Uniform Crime Reporting, National Incident-Based Reporting System, Spillman System)
o Respond to information requests from law enforcement agencies, county offices, and the public
· Statistical Modeling, Research and Reporting
o Develop statistical models for various projects and converts raw data into meaningful statistical form
o Prepare statistical crime-related reports and presentations using graphs, charts, tables and written formats
o Works with Command staff and unit supervisors on planning projects, including report analysis, scheduling and budget projections
o Reviews crime statistics
· Other Duties
o Performs all work duties and activities following County and Sheriff’s Office policies, procedures, and safety practices
o All other duties as assigned
Qualifications
Skills and Abilities
· Expertise in law enforcement records and civil process procedures
· Proficient in statistical analysis methods for law enforcement
· Knowledge of supervisory policies for training and evaluation
· Effectively manage the records and civil sections of the Sheriff’s Office
· Present numerical information in statistical form using charts, graphs and other methods
· Respond appropriately to public inquiries and present a positive public image
· Use logical and creative thought processes to develop solutions according to written specifications and or oral instructions
Special Qualifications
· Must successfully complete a background investigation, including a polygraph examination, through the National Crime Information Center (NCIC).
Education and Experience
· High school diploma or GED equivalency; and a Bachelor’s Degree in statistical analysis is preferred
· Four (4) years general work experience performing data research, technical processes or other related experience
